Choosing a Phone System
for a Small UK Business
How to choose a VoIP phone system for a small UK business in 2026: the seven things that matter, questions to ask every provider, and typical costs.

In short
The best VoIP phone system for a small UK business is the one that gives you a UK number, unlimited UK calling, apps on every device, and video, chat and SMS in the same product, on a monthly plan you can leave, from a provider that is regulated by Ofcom and stores your data in the UK or EU. In 2026 that typically costs £10 to £25 per user per month plus VAT. Rankings published by comparison sites are usually paid placements; use the checklist below and run a real trial instead.
Seven things that matter
1. The price you will actually pay
Headline prices are often the annual-billing rate, exclude VAT, or require a minimum number of users. Ask for the monthly price for your exact headcount, in writing, and check what happens to the price after any introductory period.
2. Unlimited UK calling, and what "unlimited" means
Many plans bundle 100 to 2,000 minutes per user. For a business that phones customers, unlimited UK landline and mobile calling is simpler and cheaper. Read the fair-use policy: a cap of a few thousand minutes per user per month is normal; a cap of a few hundred is not unlimited.
3. One app for everything
A phone system that also does video meetings, team chat and SMS from your business number replaces two or three subscriptions and keeps every customer conversation in one place. Check whether these are included or sold as add-ons.
4. Works on what you already own
Native apps for Windows, macOS, iOS and Android, a web portal for anyone else, and support for standard SIP desk phones so you are not locked into renting handsets.
5. No contract
Small businesses change. A monthly plan with no minimum term costs a little more per month than a 24-month deal and is worth it the first time you need to add, remove or leave.
6. A UK provider that handles the regulation
Ofcom's General Conditions, 999 address registration, caller-ID (CLI) verification and GDPR are the provider's job. Ask where recordings and messages are stored and whether the company is UK-registered.
7. AI that saves time, included
Voicemail transcripts, call summaries with action items and meeting recaps are the AI features small teams use daily. In 2026 some providers include them and some sell them as £30 to £50 per user add-ons. Make sure your recordings are not used to train the provider's models.
Questions to ask every provider
- What is the monthly, no-contract price for N users including VAT?
- Is UK calling unlimited, and what is the fair-use limit?
- Are video meetings, team chat and SMS included on that plan?
- Can I bring my own SIP desk phones?
- Is porting my number in free, and how long will it take?
- Where is my data stored, and are call recordings used to train AI?
- Can I run a full trial with a real number before paying?

Questions people ask
In 2026, roughly £8 to £15 per user per month for a plan with inclusive minutes and £15 to £25 for unlimited UK calling with video and chat, plus VAT. Enterprise-grade suites and contact-centre products cost more. Anything that needs a quote is usually aimed at larger companies.
No. Most small teams run entirely on laptop and mobile apps with a headset. Desk phones are worth it for reception desks, shared areas and people who prefer a handset, and you can add them later.
Treat them as a starting point. Most comparison sites are paid by the providers they list and rank by commission. Your own trial with real calls is a better test than any list, including ours.
