AI Call Summaries
and Smart Voicemail, Explained
What an AI call summary contains, how smart voicemail turns messages into text, where AI is reliable and where it is not, and the privacy questions to ask.

In short
An AI call summary is a short written account of a recorded phone call, produced automatically within a minute or two of hanging up: what was discussed, what was agreed, the action items, and often the caller's tone. Smart voicemail does the same for voicemail messages, giving you a transcript and a one-line gist so you can read a message instead of listening to it. Both run speech-to-text first and then a language model over the transcript. They are reliable for the gist and action items of clear calls, and should be checked against the audio for figures, names and anything contentious.
What a summary contains
- A two-to-four sentence overview of the call.
- Action items: who agreed to do what, with any dates mentioned.
- Key details pulled out of the conversation: order numbers, amounts, addresses, follow-up times.
- Caller tone (for example calm, frustrated, urgent), useful for triage and for spotting a complaint early.
- A link to the full transcript and the audio for anything you want to verify.
How smart voicemail works
When a caller leaves a message, the audio is transcribed and summarised automatically. You get a notification with the one-line gist, the transcript, the caller's number and the audio, in the app and by email if you want it. The point is speed: you can see that three messages are a supplier confirming delivery, a customer asking for a callback about an invoice, and a sales call, without playing any of them, and call back the one that matters first.
Where it helps most
- Sales and account teams: notes written for you after every call, so the CRM entry takes a minute.
- Support and operations: action items that do not get lost, and a tone flag that surfaces unhappy customers.
- Anyone who is away from the desk: read voicemails on a phone between meetings.
- Managers: catch up on what happened on a line without listening to hours of audio.
Limits to know about
- Accuracy drops with poor audio, strong background noise, heavy crosstalk and uncommon names. Check figures and names against the audio before you act on them.
- A summary is a model's judgement about the call, not a record of it. Keep the audio and transcript as the source of truth.
- Tone labels are an estimate from word choice and delivery; treat them as a prompt to listen, not a verdict.
- Regional accents and technical jargon are handled well by current models but are still the most common source of transcript errors.
Privacy questions to ask
- Is the audio used to train the provider's models? It should not be.
- Where is the processing done and where are transcripts stored? UK or EU, or under an approved transfer mechanism.
- Is the AI provider a processor under a written contract?
- Do transcripts and summaries follow the same retention and deletion rules as the recordings?
- Have callers been told that calls may be recorded and analysed? See our call-recording guide.
How AymexConnect does it
Smart voicemail is on every plan, including Starter at £8.95 per user per month. AI call summaries with action items and tone come with Professional (£17.95), which includes 300 AI minutes per user pooled across the team; Ultimate adds meeting recordings and recaps with 1,000 pooled minutes. Transcription and summaries are produced under a processor agreement, stored in the UK and EU with the same retention as the recordings, and your audio is never used to train models. Every summary links to the transcript and audio.
Questions people ask
For a clear call on a decent connection, the gist and action items are reliable enough to use as notes. Specific numbers, spellings of names and anything you would act on legally or financially should be checked against the transcript or audio, which a good system links from every summary.
They need to be told the call is recorded and that recordings may be transcribed and analysed. A standard recording announcement plus a privacy notice that mentions AI processing covers it. Our call-recording guide has the detail.
The number of minutes of audio the AI will process per month, pooled across your team. A ten-minute call uses ten AI minutes. Professional includes 300 per user and Ultimate 1,000 per user; you can top up if you run out.
